Zoho CRM costs $14 to $52 a user per month on annual billing, with a free edition for up to three users. It is one of the least expensive full CRMs you can buy, and the decisions that affect your bill are which edition you need, whether you pay monthly or yearly, and what you add around it.
This guide covers all three. Prices were last checked on October 7, 2026.
A note on bias. We make BaseCloud CRM, a competitor for some buyers. Edition limits here come from Zoho’s own comparison page, linked at the end, and our own product is covered in one clearly marked section.

Is Zoho CRM free? What the free plan includes
Yes. The free edition covers up to three users and does not expire. These are its limits, from Zoho’s edition comparison:
| Item | Free edition |
|---|---|
| Users | 3 |
| Records | 5,000 |
| File storage | 1 GB for the organization |
| Modules | Leads, contacts, accounts, deals, tasks, events, call log, notes |
| Custom fields | Not available |
| Custom list views | 5 per module |
| Workflow rules | Basic rules available |

| Reports | Standard reports only |

It is a real CRM for a very small team. Most businesses outgrow it when they need a custom field, a second pipeline or a custom report.
What each paid edition unlocks
Standard: $14 a user
The first paid edition adds multiple sales pipelines, scoring rules, mass email (100 emails per user license per day), sales forecasting, email integration and custom dashboards. Storage rises to 100,000 records.
Good for: a small sales team that has outgrown a spreadsheet or the free edition.
Professional: $23 a user
This is the edition where Zoho becomes a process tool. It adds:
- Blueprint, Zoho’s guided process automation, with 3 active Blueprints
- Quotes, sales orders and invoices
- Webhooks, validation rules (5 per layout) and assignment rules
- SalesSignals, real-time notifications of customer activity
- Zia, Zoho’s AI assistant
- Up to 155 custom fields per module, and about 10 GB of data storage
Good for: most small and mid-size businesses. It is also Zoho’s most popular edition.
Enterprise: $40 a user
Enterprise is for teams that want to build on the CRM. It adds:
- Custom functions and client scripts for your own logic
- Customer portals
- Territory management, up to 150 territories
- A sandbox for testing changes safely
- Up to 100 custom modules and 300 custom fields per module
- 50 active Blueprints, and mass email of 200 emails per user license per day
Good for: larger sales teams, companies with several regions or product lines, and anyone with a developer or consultant on hand.
Ultimate: $52 a user
The same feature set with the highest limits: 100 active Blueprints, up to 500 custom modules, 250 territories, 1,000 mass emails per user license per day and 5 GB of file storage for the organization instead of 1 GB.
Good for: large organizations that hit Enterprise limits.

What Zoho CRM actually costs a team

|---|---|---|
| 3 users, Free | $0 | $0 |
| 5 users, Standard | $840 a year | $100 a month |
| 5 users, Professional | $1,380 a year | $175 a month |
| 10 users, Professional | $2,760 a year | $350 a month |

Zoho CRM pricing for small businesses
- One to three people: the free edition, at $0.
- A team of five that needs pipelines and mass email: Standard, at $70 a month on annual billing.
- A team of five that quotes and invoices: Professional, at $115 a month.
- A team of ten with custom processes: Enterprise, at $400 a month.
Start one edition lower than you think you need. Upgrading is simple, and the 15-day trial lets you test the higher edition first.
The costs beyond the subscription
Zoho has fewer surprises than most CRMs, but these extras are worth planning for.
Telephony. The CRM does not include a phone service. Calls run through Zoho PhoneBridge with a supported provider, or through Zoho Voice, which starts at $34 a user per month plus call charges. For a ten-user team that is another $340 a month, almost as much as the Enterprise CRM licenses.
E-signature. Zoho Sign is a separate app, from $10 a user per month.
WhatsApp. The integration is included in paid editions. Messages are paid for with credits, on top of Meta’s own per-message fees.
File storage. Every edition up to Enterprise includes 1 GB for the organization plus 512 MB per user license. Teams that attach documents and recordings to records will need the paid storage add-on.
Extra user types and backups. Read-only Team Users cost about $9 a user per month, and scheduled data backup is a paid add-on.
Setup help. Zoho CRM is very configurable, which is its strength and its cost. Many businesses hire a Zoho partner to design modules, Blueprints and reports. Get a quote before you commit.
A worked example: ten users who call, text and send contracts
| Item | Monthly cost |
|---|---|
| Zoho CRM Enterprise, 10 users | $400 |
| Zoho Voice, 10 users | $340 |
| Zoho Sign, 5 users | $50 |
| Total before call and message charges | $790 |
The CRM license is about half of the real bill.
Zoho CRM vs Bigin, CRM Plus and Zoho One
| Product | What it is | Annual billing | Month to month |
|---|---|---|---|
| Bigin | A simple pipeline CRM for very small teams | $7, $12 or $18 a user | $9, $15 or $21 a user |
| Zoho CRM | The full sales CRM | $14 to $52 a user | $20 to $65 a user |
| CRM Plus | Zoho CRM plus marketing, help desk and analytics apps | $57 a user | $69 a user |
| Zoho One, all employees | The entire Zoho suite | $37 per employee | $45 per employee |
| Zoho One, flexible | The entire Zoho suite, for some users | $90 a user | $105 a user |
Bigin suits a team that only needs to track deals. CRM Plus makes sense once you would otherwise buy three or more Zoho apps separately. Zoho One is good value if you license every employee and will genuinely run the business on Zoho. The $37 price requires a license for every person on the payroll.
Which Zoho CRM edition should you choose?
| Your situation | Edition | Price per user (annual) |
|---|---|---|
| One to three people, just starting | Free | $0 |
| A small team that needs pipelines and mass email | Standard | $14 |
| A team that quotes, invoices or wants guided processes | Professional | $23 |
| Several teams or regions, or custom development | Enterprise | $40 |
| You are hitting Enterprise limits | Ultimate | $52 |
When Zoho CRM is not the best fit
Zoho CRM is excellent value for a team that enjoys configuring software. It is a weaker fit when:
- Your team sells by phone, text and WhatsApp. Each channel is a separate product or integration to set up and pay for.
- Nobody wants to be the administrator. The flexibility has to be configured by someone.
- You want one vendor and one bill for calls, messaging, quoting and signing. With Zoho that means several apps, or the Zoho One bundle.
How BaseCloud CRM compares
BaseCloud is our product, so read this section as the vendor’s view.
BaseCloud CRM has one subscription with nothing behind a higher edition: $699 a month for 5 users, $1,299 for 15 and $2,999 for unlimited users. Every plan includes a built-in phone system with call recording and AI summaries, business texting, a WhatsApp shared inbox, quotes and invoices, e-signature and a workflow builder.
Zoho CRM’s seat price is far lower. The totals are closer once the channels are added:
| Team | Zoho CRM Enterprise with Zoho Voice and Zoho Sign | BaseCloud CRM, yearly billing |
|---|---|---|
| 5 users | $420 a month | $583 a month |
| 15 users | $1,160 a month | $1,083 a month |
| 25 users | $1,900 a month | $2,499 a month |
| 40 users | $3,010 a month | $2,499 a month |
| 100 users | $7,450 a month | $2,499 a month |
Zoho is cheaper for small teams and at around 25 users. BaseCloud is cheaper at 15 users and from about 34 users up, because its top plan has no user limit. Call and message charges are extra on both. Our pricing page lists every plan and usage rate.
