Dispatch in BaseCloud CRM

Field service dispatch software that lives inside your CRM

See every technician's day, the jobs still waiting for someone, and who should go next, on one screen. Each booked job lands on the technician's calendar and on the client's record, so the office, the customer history and the schedule never drift apart.

See it in action

Watch a job go from the queue to a technician

An urgent job waits in the Needs a tech queue. Drag it onto a technician's row and it becomes a booking on their day, with the queue closing up behind it.

The problem

Dispatching from a calendar and a spreadsheet breaks down fast

A shared calendar shows when people are busy. It does not show which jobs are waiting, who has the right skill, or which customer should be seen first. The dispatcher holds all of that in their head.

  • Nobody can see the waiting jobs

Jobs that still need a technician sit in emails and notes until someone remembers them.

  • The wrong person gets the job

A senior-only estimate lands on a new hire, or a job needing a gas ticket goes to someone without one.

  • Urgent calls get buried

A no-heat call from an elderly customer looks the same as a routine service in a plain list.

  • Customers hear about delays too late

A running-late text depends on the dispatcher noticing and having a free minute.

  • The schedule and the client record disagree

Visits live in one tool and the customer's history in another, so neither tells the full story.

How it works

From switch-on to a technician on the way

  1. Switch Dispatch on and mark your technicians

In Settings, turn on Dispatch. On each technician's user page, add their skills, their working hours and a home base where their day starts. BaseCloud creates a Jobs table for you the first time.

  2. Book the job

Add a job from the board, or from the client's record with Book visit. Give it a job type, a priority, an arrival window and an address. Jobs created by an automation, a form or an AI assistant follow the same rules.

  3. Send the right person

Drag the job onto a technician's row, pick from the list of who should go, or run auto-assign. BaseCloud checks every booking against skills, hours and the arrival window, and explains any clash.

  4. Follow the day

Jobs move from Scheduled to Dispatched, On way, Working and Done. The board updates by itself when anyone changes a job, and late jobs are flagged in Needs your attention.

What it does

What the dispatch board does

Dispatch is part of the CRM, not a separate product, so every job is a row on the client's own record. Rights decide who can see the board and who can book and move jobs.

  • One board for the whole day

A Needs tech queue sorted by urgency sits beside a timeline with one row per technician. Switch between today and tomorrow, or step one day at a time. The board also opens full screen for a wall display in the office.

  • A map of every job

Switch from the board to the map to see the day's jobs at their addresses. Urgent jobs are ringed in red, and a click on a pin opens the job.

  • Skills, seniority and working hours

A job that needs a skill goes to a technician who has it. A job type can be limited to senior technicians or to mornings only, and Dispatch fits jobs into the hours someone works.

  • Your own rules for who goes first

Jobs queue by priority, then by your own rules, then return visits, arrival window and date. A rule can mark a member, an old system or a vulnerable household, and a red rule flags the job as urgent.

  • Auto-assign and best-fit suggestions

Auto-assign gives each waiting job its best fit, most urgent first, and lists anything that needs a second look. It books up to 50 jobs at a time. For a single job, the list of who should go puts the right technician at the top and shows why anyone else is unavailable.

  • Calendars that stay in step

A booked job appears on the technician's BaseCloud calendar, and in Outlook or Google when connected. Move the entry in the calendar and the job follows within a couple of minutes.

  • A Jobs table with columns for your trade

Add your own columns, such as a gate code, a serial number or an indoor temperature. They appear in the new-job form and can feed your queue rules. HVAC shops can add a starter setup with one click.

  • Texts that go out on their own

Build an automation that texts the customer when the status changes to On way, texts again when a job runs late, or asks for a review when it is Done. Dispatch uses the same workflow builder as the rest of the CRM.

Every job on a map

Switch from the board to the map and every job with an address appears as a pin. Green pins are waiting for a technician, red pins are urgent and outlined pins already have someone assigned.

Click a pin to open the job, change it or send someone. The Needs your attention panel beside it lists late and urgent jobs, most urgent first.

  • See where the day's work is clustered before you assign it
  • Urgent jobs stand out at a glance
  • The address is looked up when the job is booked

FAQ

Questions buyers ask

What is dispatch software in a CRM?
It is the part of the CRM that decides which technician goes to which job and when. In BaseCloud, jobs wait in a Needs tech queue, a board shows each technician's day, and every booking lands on the technician's calendar and on the client's record.
Can I see the day's jobs on a map?
Yes. Switch from the board to the map and every job with an address appears as a pin. Urgent jobs are ringed in red, and a click on a pin opens the job. The address is looked up when the job is booked.
How does BaseCloud decide who should take a job?
A technician is only offered a job if they have the skill it needs and are free inside their working hours and the arrival window. For a return visit, the technician who did the first visit comes first. After that, whoever can start soonest is listed first.
How do technicians use it?
Technicians see their visits on their own calendar and mark their jobs On way, Working and Done as the day goes. Dispatchers with the Edit Dispatch right book, move and cancel jobs. You can switch that right on or off for a user or a whole team.
Can customers be texted automatically?
Yes, with an automation. Start a workflow when a job's status changes to On way, and send an SMS or WhatsApp message to the client. The same approach works for a running-late text or a review request after Done. Message usage is billed at the rates on the pricing page.
Can an AI assistant book and assign jobs?
Yes. With a Claude or ChatGPT connection that is allowed to make changes, you can ask who should go to a job, book today's waiting jobs or assign one to a named technician. It uses the same booking checks as the board. See the AI connector page.
Does Dispatch work with, or replace, our current field service software?
Both. BaseCloud integrates fully with other field service software through automation workflows, webhooks and the API. Many companies choose to run everything in BaseCloud instead, with dispatch, quotes, invoices, payments, calls, texting, e-signature and reviews in one system. Your customers, jobs and history move over by CSV import and automation workflows.
