CRM for Nonprofits and Donor Management

BaseCloud is a nonprofit CRM that keeps every donor, volunteer, member and sponsor on one record. Gift history sits beside every call, email and text, thank-yous go out on time, and the whole team sees the same relationship before they pick up the phone.

The first gift isn't the hard part. Staying in touch until the second one is.

Donor details live in a spreadsheet, gift records in an export from the giving platform, and the conversations in three people's inboxes. A thank-you goes out weeks late or not at all. When a board member asks who gave last year but not this year, somebody spends an afternoon matching lists. Sponsors and grant deadlines are tracked in someone's head.

What BaseCloud CRM solves

What a donor management CRM should fix

  • Donors, volunteers, members and sponsors on one record, without duplicates
  • Gift history next to every call, email and text with that person
  • A thank-you and a follow-up that go out without anyone remembering
  • Appeals and newsletters sent to the right list, with opens and clicks tracked
  • Sponsor and grant deadlines visible to the team, with reminders
  • Reports the director and the board can read without a spreadsheet

How it works

The supporter relationship, start to finish

Four jobs a small development team repeats all year, each set up once in BaseCloud.

One record for every supporter

A website form, a CSV import or a webhook from your giving platform creates the supporter. Custom fields hold what your organization tracks, and linked contacts keep a household or a company together.

  • Custom fields for supporter type, interests and how they prefer to hear from you
  • Spouses, or a sponsor's staff, as linked contacts on one client
  • Duplicates merged after an import, so each supporter has one record

What you get

Built around the people who support you

Six BaseCloud features, in the terms a development or programs team would use.

  • Supporter records and gift tables

Your own fields on every supporter, plus a per-supporter table of gifts, pledges or volunteer hours with column totals.

  • Email synced and tracked

Gmail or Microsoft 365 synced both ways, so every thread lands on the supporter. Bulk email carries open and click tracking.

  • Thank-yous and follow-ups on their own

A workflow can send the thank-you, create a call task for a major gift and remind the owner of a deadline from a date field.

  • Texting volunteers and supporters

Two-way and bulk texting from your business number for event reminders and quick updates, with replies on the record.

  • Sponsorships and dues invoiced

Invoice sponsors and members once or on a recurring schedule, and take card payment online through Stripe.

  • Dashboards for the director and the board

Charts and tables built from your supporter fields and gift table, filtered by date range and exported as a CSV.

The BaseCloud difference

Built in, not bolted on

Calling, texting, WhatsApp, email, quoting, e-signature and automation are part of BaseCloud, not add-ons from other vendors. One login, one client record, and no connectors to keep alive between separate subscriptions.

  • Phone system
  • SMS
  • WhatsApp
  • Gmail / Microsoft 365
  • Workflow automation
  • Quotes & invoices
  • E-signature

Nonprofits on BaseCloud

One new donor, from first gift to second

This is an example of how a small nonprofit could set up BaseCloud. It is a sample setup, not a customer story, and every step can be changed.

Example workflow

A local food bank with a three-person development team

Someone gives for the first time after a spring appeal. Here is how the team keeps that donor close through the year.

  1. 1. Donor created

The giving platform sends a webhook, or a staff member adds the gift. The donor record and the first row in the gift table are created.

  2. 2. Thank-you sent

A workflow emails a thank-you from the director's mailbox the same day, using your own template.

  3. 3. Call assigned

Larger gifts create a task for the development lead to phone the donor. The call is recorded on the donor's record.

  4. 4. Kept in the loop

The donor joins the newsletter list. Open and click tracking shows which stories they read.

  5. 5. Invited in

A text invites them to a volunteer day, and the reply lands on their record for the coordinator.

  6. 6. Asked again

Near the anniversary of the gift, the owner gets a task and the donor gets a personal note before the next appeal.

The team spends its time talking to supporters. Thank-yous, reminders and follow-ups are sent for them.

FAQ

Nonprofit CRM questions

Does BaseCloud offer nonprofit pricing?
BaseCloud does not publish a nonprofit discount. Plans are priced by team size, not by the number of contacts, so a large supporter list does not push the price up. Current plans are on the pricing page.
Can we take donations online through BaseCloud?
Not through a donation page. BaseCloud has no hosted donation forms and no peer-to-peer fundraising pages. It can send an invoice with an online card payment link through Stripe, which suits sponsorships, membership dues and pledged amounts. Keep your giving platform for that, and bring each gift into BaseCloud by CSV import, or by webhook if the platform can send one.
Does BaseCloud do fund accounting or issue tax receipts?
No. BaseCloud is not accounting software and has no receipt feature built for charities. You can record a fund name on each gift and report on it, and a workflow can email a thank-you from your own template when a gift is recorded. What an acknowledgment must say for tax purposes is for your organization to get right. Invoices can sync to Xero or Sage, and to QuickBooks through automation workflows.
Can we manage grants and events in BaseCloud?
There is no grant management module and no event ticketing. Grant applications and sponsorships can be tracked as cards on a Kanban board with your own stages, deadlines and files. For events, BaseCloud handles the invitations, reminders and follow-up, and your ticketing tool handles registration.
What does a nonprofit CRM replace?
Usually the donor spreadsheet, a separate email newsletter tool, a texting app and the shared inbox nobody owns. BaseCloud puts supporter records, email, texting, WhatsApp, calls, calendars and reports in one place. It does not replace your giving platform or your accounting software.
How do we move our donor list across?
Import supporters and contacts by CSV, then merge any duplicates. Gift history can be imported by CSV into a table on each supporter, or pushed in through the API.

Fewer lapsed donors. More second gifts.
