A self-referred patient at a four-therapist outpatient clinic
A patient with low back pain finds the clinic on Google and fills in the appointment request form at lunchtime. This is what follows.
1. Request captured
The form creates the patient with the Google Ads campaign attached. Call Connect rings the front desk and dials the patient.
2. Evaluation set
The front desk books the evaluation in the therapist's calendar. A reminder text goes out the afternoon before.
3. Plan recorded
After the eval, the therapist sets visits prescribed to twelve and the next re-eval date. The patient moves to Active on the board.
4. Cancellation caught
Week three, the patient cancels and doesn't rebook. A text offers two open times and the therapist gets a Workflow Note.
5. Discharged
Twelve visits later the status changes to Discharged. A review request goes out the same afternoon.
6. Ninety-day check-in
A Client Date Trigger asks how the back is holding up, with an easy way to book a follow-up visit.
Therapists focus on treatment. The reminders, rebooking and check-ins run in the background.
