CRM for Consultants and Consulting Firms

BaseCloud is a consulting CRM that runs the business side of your practice. Referrals and inquiries are followed up, proposals go out for signature from the same record, retainers are invoiced each month, and every client call is recorded with a summary.

Winning the work isn't the hard part. Following up while you're delivering it is.

When you are busy with a client, business development stops. A referral waits a week for a reply, a proposal goes out and nobody checks whether it was read, and the notes from the discovery call are in a notebook. At month end the retainer invoices are rebuilt by hand, and nobody is sure which engagement ends next quarter.

What BaseCloud CRM solves

What a consulting CRM should fix

  • Every referral and inquiry on one pipeline, with its source
  • Discovery calls recorded and summarized, so the proposal reflects what was said
  • Proposals sent, tracked and followed up until there is a decision
  • Agreements signed online and saved on the client
  • Retainers invoiced on the same day every month, with online payment
  • Engagement end dates and renewals visible months ahead

How it works

From first conversation to renewed engagement

Four jobs a consulting firm repeats with every client, each set up once in BaseCloud.

A pipeline that keeps moving

Website inquiries, referrals and people you met at a conference land on one record with their source. Each prospect moves across a Kanban board by stage.

  • Discovery calls booked into your Google or Outlook calendar, with a Google Meet or Teams link
  • A reminder text or email before the meeting
  • A follow-up task when a prospect stays in one stage too long

What you get

The tools a consulting practice uses every day

Each tile is a standard BaseCloud feature, described the way a consulting firm would use it.

  • Pipeline and engagement boards

Your own fields on each client, a table of engagements with dates and fees, and a Kanban board to move work through stages.

  • Proposals and recurring invoices

Quote from a pricebook of your services, convert to an invoice, bill retainers monthly and take card payment through Stripe.

  • Agreements signed online

Send consulting agreements and statements of work to several signers in order, with a one-time code and an audit certificate.

  • Client calls recorded and summarized

Calls made through BaseCloud are recorded and transcribed, with an AI summary and action points saved on the client.

  • Meetings in the calendar you already use

Google and Outlook calendars sync both ways, with Teams and Google Meet links and automatic reminders before each meeting.

  • Email matched to the client

Gmail or Microsoft 365 synced both ways. Every thread lands on the right client, with open tracking on proposals and follow-ups.

The BaseCloud difference

Built in, not bolted on

Calling, texting, WhatsApp, email, quoting, e-signature and automation are part of BaseCloud, not add-ons from other vendors. One login, one client record, and no connectors to keep alive between separate subscriptions.

  • Phone system
  • SMS
  • WhatsApp
  • Gmail / Microsoft 365
  • Workflow automation
  • Quotes & invoices
  • E-signature

Consultants on BaseCloud

One referral, from introduction to retainer

This is an example of how a small consulting firm could set up BaseCloud. It is a sample setup, not a customer story, and every step can be changed.

Example workflow

A regional manufacturer looking for help with an operations review

A former client introduces you to their operations director by email. Here is how the firm takes it from there.

  1. 1. Referral logged

The prospect is added with the referrer as the source, and the partner gets a task to reply the same day.

  2. 2. Discovery call held

The call is booked into the calendar with a reminder. It is recorded and summarized on the prospect's record.

  3. 3. Proposal sent

The partner builds the fee proposal from the pricebook and emails it. Open tracking shows when it was read.

  4. 4. Agreement signed

The consulting agreement goes out for e-signature. The signed copy and audit certificate are saved on the client.

  5. 5. Work assigned

The engagement is added to the client's table with its end date, and the first tasks go to the consultants.

  6. 6. Retainer billed

A monthly recurring invoice starts, with a payment link in each email. A task before the end date prompts the renewal conversation.

Consultants spend their time on client work. Follow-ups, agreements and invoices go out without anyone chasing them.

FAQ

Consulting CRM questions

Does BaseCloud track billable hours?
No. BaseCloud has no time tracker or timesheets. You can invoice hours as a line with a quantity and a rate, and fixed fees and retainers need no time tracking at all. Firms that bill by the hour keep their time tracking tool and bring the totals into the invoice.
Is BaseCloud a project management tool?
Not a full one. It has no resource planning, capacity views or Gantt charts. It does track engagements and deliverables as cards on a Kanban board with stages, owners, due dates and files, and tasks are assigned as Workflow Notes. Firms running large multi-team projects keep their project tool and use BaseCloud for sales, agreements, billing and client communication.
Can I send proposals from BaseCloud?
Yes. Build the fee proposal as a quote from your pricebook, or fill your own PDF template with the client's details, then send it for e-signature. BaseCloud does not come with a library of ready-made proposal templates, so the wording and layout are yours.
How much does BaseCloud cost for a small consulting firm?
Plans are priced by team size, not by the number of contacts or clients, and every feature is on every plan. Current plans and usage rates are on the pricing page.
What does it replace in a consulting practice?
Usually a contact spreadsheet or a basic CRM, an e-signature subscription, an invoicing tool, a call recorder and a separate phone or texting app. It does not replace your accounting software. Invoices can sync to Xero or Sage, and to QuickBooks through automation workflows.
Can I record client calls and meetings?
Calls made or received through the BaseCloud phone system are recorded and transcribed, with an AI summary on the client. BaseCloud does not record Zoom, Teams or Google Meet meetings. Telling people a call is recorded, and getting consent where the law requires it, is your responsibility.
