For funded and revenue-generating B2B startups

CRM for Startups

BaseCloud is a startup CRM for teams that have customers and a sales process to build. Calls, texts, email, quotes, contracts and invoices sit on one client record, so your first sales hires work from the same history the founders built, without a stack of connected tools to maintain.

Founders close the first customers from memory. The first sales hires need a system.

Early on, the pipeline lives in the founders' heads, an inbox and a spreadsheet. Then the team grows. A phone system gets added, then a texting tool, an e-signature tool, an invoicing tool and an automation tool to join them together. Each one bills per user, each one holds part of the customer's story, and nobody can see the whole deal in one place.

What BaseCloud CRM solves

What a startup CRM should fix

  • Every lead from the website, ads and outbound in one pipeline, with its source
  • New inquiries called back in minutes, not the next morning
  • Calls, texts and emails on the client record, whoever handled them
  • Quotes and order forms sent, signed and invoiced without retyping anything
  • Follow-ups that run on a schedule, not when someone remembers
  • One subscription to manage, not a connector between every pair of tools

How it works

From first inquiry to a paying customer

Four jobs every B2B startup runs once it has a sales process, and where each one lives in BaseCloud.

Every lead in one pipeline

Website forms, Facebook lead ads and webhooks create the lead with its source and UTM values. Each one is assigned to a rep and moves across a kanban board by status.

  • Call Connect rings a rep the moment a web form arrives and connects them to the lead
  • CSV import for the list you built in a spreadsheet, with duplicate merging
  • Custom fields for whatever you qualify on, such as team size or current tool

What you get

The tools a startup would otherwise buy separately

Each tile is a standard BaseCloud feature, described the way a small B2B sales team would use it.

  • A phone system without a phone vendor

Local numbers, a browser softphone and an iOS and Android app. Outbound calls show your business number, and every call is logged on the client.

  • Speed to lead on demo requests

When a demo request comes in, Call Connect rings your rep first and then connects them to the person who filled in the form.

  • Email from your own mailbox

Two-way Gmail and Microsoft 365 sync, team inboxes for shared addresses such as sales@, and tracking on template and bulk email.

  • Automation with no run limit

A visual workflow builder with 15 triggers and 49 actions, including JavaScript and Python code steps, webhooks and a public API for your developers.

  • Order forms and NDAs signed

Send documents for signature with signing order and passcode checks. The signed copy and audit certificate stay on the client record.

  • Quotes, invoices and recurring billing

Quote from a pricebook, convert to an invoice, take card payment online and bill contracts on a recurring schedule.

The BaseCloud difference

Built in, not bolted on

Calling, texting, WhatsApp, email, quoting, e-signature and automation are part of BaseCloud, not add-ons from other vendors. One login, one client record, and no connectors to keep alive between separate subscriptions.

  • Phone system
  • SMS
  • WhatsApp
  • Gmail / Microsoft 365
  • Workflow automation
  • Quotes & invoices
  • E-signature

Startups on BaseCloud

One demo request, from form fill to first invoice

This is an example of how a B2B startup could set up BaseCloud for inbound sales. It is a sample setup, not a customer story, and every step can be changed.

Example workflow

An operations manager asks for a demo of your software

The request comes in through your website form on a Tuesday afternoon, from a paid search ad. Here is how it becomes a signed customer.

  1. 1. Lead captured

The form creates the client with the ad's UTM values and assigns a rep. Call Connect rings the rep and connects the call.

  2. 2. Demo booked

The rep books the demo in the calendar with a Google Meet link. A reminder goes out the day before.

  3. 3. Call summarized

The discovery call is recorded and transcribed. The AI summary and action points are saved on the client.

  4. 4. Quote followed up

The rep sends a quote from the pricebook. If there is no reply, a workflow follows up by email and text.

  5. 5. Order signed

The order form goes out for e-signature. Both signers verify with a one-time code, and the signed copy is filed.

  6. 6. Billing started

The quote becomes a recurring invoice with a card payment link, and a renewal reminder is set for the contract end date.

The rep spends the week talking to prospects. Callbacks, follow-ups, signatures and invoices follow the same steps for every deal.

FAQ

Startup CRM questions

Is there a free plan or a startup discount?
No. BaseCloud has no free plan and no startup discount. Every plan includes every feature and covers a team of users on one monthly fee, and there is a 7-day free trial with no card required. Current prices are on the pricing page. If you are a solo founder who wants a free CRM to hold a contact list, a free tool is the better choice for now.
When does BaseCloud make sense for a startup?
When you have funding or revenue, a few people selling, and you are paying for or about to buy several tools. BaseCloud replaces a phone system, a texting tool, e-signature, invoicing, an automation tool and the CRM itself. If you only need one of those today, a single-purpose tool will cost less.
Is BaseCloud a B2B CRM?
Yes. Companies are client records with any number of contacts under them, and deals move through a pipeline on a kanban board. Quotes, contracts, invoices, calls and emails are all saved on the company, so an account can pass from a founder to a rep without losing its history.
Can we connect BaseCloud to our own product?
Yes. There is a public REST API with API keys, and workflows can start from an incoming webhook or send one out. A sign-up or a plan change in your product can create or update a client, and a workflow can run JavaScript or Python when you need custom logic.
Does it work with our accounting software?
Invoices and contacts sync with Xero, and customers, quotes and invoices with Sage. QuickBooks is connected through automation workflows that send customers, invoices and payments across. BaseCloud is not a bookkeeping package, so you keep your accounting software.
How long does it take to move over from spreadsheets or another CRM?
Import clients and contacts by CSV, connect your Gmail or Microsoft 365 mailbox and calendar, and add or port your phone numbers. You can test all of it on your own data during the trial before you decide.

One record for every deal. One tool in place of six.

Show us how leads reach you and how a deal gets signed today, and we'll set up that pipeline, phone line and follow-up in BaseCloud.
