A seat for every person on per-seat tools. Usage such as call minutes and text messages is left out on both sides.

Why it adds up

Why a stack of tools costs more as you grow

  • Every hire is another seat

HubSpot is $90 per seat, DocuSign is $45 per user and ServiceTitan is $245 per technician a month. Each person who needs a seat adds to the bill from their first day.

  • Each tool bills on its own

Five tools means five renewals, five price lists and five support desks. No single invoice shows you the total.

  • You pay to join them up

The tools do not share a client record, so you pay Zapier to copy data between them. Its Team plan starts at $69 a month for 2,000 tasks, and the price rises as you run more.

One client record

What BaseCloud does for each job

Every BaseCloud package includes every feature, so none of these is an add-on. Where a separate tool still earns its place, we say so.

  • Instead of HubSpot, Salesforce, Pipedrive, Zoho CRM or GoHighLevel

    CRM

Client and contact records, pipelines, custom fields, report dashboards and two-way email sync are the core of every package.

  • Instead of ServiceTitan or Housecall Pro

    Field service software

Client records, the calendar, a pricebook, quotes and invoices live in the same CRM as your calls and texts.

BaseCloud does not track trucks or stock. Teams that need GPS dispatch or inventory keep their field service software for that.

  • Instead of DocuSign

    E-signatures

Quotes and documents go out for signature from the client record, with a signing order, a one-time passcode and an audit certificate.

  • Instead of Podium

    Texting and reviews

Two-way texting, WhatsApp and a shared inbox sit on the client record, and a workflow texts your Google review link when a job is done.

  • Instead of RingCentral or Quo (OpenPhone)

    Business phone

A phone system in the browser and on mobile, with every call recorded, transcribed and saved to the client.

Most phone plans include domestic calling. BaseCloud bills calls at $0.14 a minute and numbers at $10 a month each, so add your usage estimate to the BaseCloud side to compare like for like.

  • Instead of Zapier

    Automation

Workflows are built into the CRM on every package, and the data they need is already on the client record.

See how it works: automation in BaseCloud
  • Instead of QuickBooks Online or Xero

    Invoicing and accounting

Invoices, recurring invoices and online payment run from the client record, with a report on who still owes you.

BaseCloud is not a bookkeeping package. If your accountant works in QuickBooks, Xero or Sage, keep it and let BaseCloud send the invoices across.

Questions

Software stack costs, answered

How much does a small business software stack cost?

It depends on the tools and the team size, since many tools charge per seat. At the prices on this page, with a seat for everyone, ServiceTitan, DocuSign, Podium and Zapier come to $1,918 a month for 5 people and $4,818 a month for 15. BaseCloud is $583 and $1,083 a month for the same teams, billed yearly.

What is an all-in-one CRM?

An all-in-one CRM does the jobs a business usually buys separate tools for, on one client record. Every BaseCloud package includes:

  • CRM and pipelines
  • Job booking, quotes and a pricebook
  • E-signatures
  • Texting, WhatsApp and review requests
  • A phone system with call recording
  • Automation workflows
  • Invoices and online payment
Which tools can I compare?

The calculator lists HubSpot, Salesforce, Pipedrive, Zoho CRM, GoHighLevel, ServiceTitan, Housecall Pro, DocuSign, Podium, RingCentral, Quo (OpenPhone), Zapier, QuickBooks Online and Xero. For anything else, choose "Another tool" under the job it does and type what you pay a month.

How much does ServiceTitan cost?

ServiceTitan does not publish its prices. This page uses $245 per technician a month for its Starter plan. The source reports $245 to $300 for Starter; we use the low end. Ten technicians come to $2,450 a month, before any setup fee.

How much does Housecall Pro cost?

On annual billing, Housecall Pro lists Basic at $59 a month for 1 user, Essentials at $149 a month for up to 5 users and MAX at $299 a month for up to 8 users. Each user beyond 8 is $35 a month.

How much does Podium cost?

Podium quotes on a sales call. Its Core plan is reported at $399 a month on an annual contract, which is the figure this page uses. Message charges and extra locations are quoted separately.

When is a stack of tools cheaper than BaseCloud?

When it is a few low-cost tools. GoHighLevel Starter with Xero Growing is $140 a month for any team size, against $1,083 for BaseCloud at 15 people. The gap usually closes once you pay per seat for several tools, so try your own stack in the calculator.

What does BaseCloud cost?

BaseCloud charges per package. Foundation is $583 a month for up to 5 users, Growth is $1,083 for up to 15, and Dominate is $2,499 with no cap on users, all billed yearly. Extra users on Foundation or Growth are $200 each a month. Onboarding is $1,500 once, waived on a two-year commitment. See the full pricing.

What is not included in the BaseCloud price?

Usage. Calls bill at $0.14 a minute and texts at $0.02 a segment, and phone numbers, AI and file storage are billed on what you use. The calculator leaves usage out on both sides unless you type your own estimate into the BaseCloud column.

Does BaseCloud replace my accounting package?

Not for bookkeeping. BaseCloud sends quotes and invoices, runs recurring billing and takes online payment, and it shows who still owes you. It does not keep a ledger, reconcile your bank or run payroll. Most teams keep QuickBooks or Xero and let BaseCloud pass invoices across, which is why accounting starts unpicked when the calculator opens.

Does BaseCloud replace field service software?

It covers the office side: client records, the calendar, a pricebook, quotes, invoices, calls and texts. It does not track trucks or stock. If you need GPS dispatch or inventory, leave your field service software out of the calculator and compare the rest.
