Built-in phone system

A CRM with a built-in phone system

Make and take business calls in the browser, on the BaseCloud Phone app or on a SIP device. Every call lands on the right client record, and call flows, ring groups and transfers come built in. There's no separate VoIP provider and no dialer add-on.

At a glance

  • Browser softphone, mobile app and SIP devices
  • Local US and South African numbers, plus porting
  • IVR menus, ring groups and call flows
  • Blind and assisted transfers, conference calls
  • Voicemail, follow-me and SRTP encryption

The problem

When calls and customers live in two systems, leads go missing

Most small teams run their phones on one system and their customers in another. The gaps between the two are where leads, promises and context get lost.

  • Calls with no record

A rep takes a call on their cell phone and nothing reaches the CRM. Nobody else knows what was promised.

  • Two bills, two logins

A VoIP provider, a dialer add-on and a CRM each bill separately, and the call data never quite makes it across.

  • Callers bounce around

Without a menu or ring groups, calls ring one desk, go to voicemail, and the caller tries the next business on the list.

  • No context when it rings

Whoever answers can't see who is calling, what they bought or what was said last time.

How it works

From phone number to recorded call

Your numbers and call flows are set up with you during onboarding. After that, your team changes them whenever the business changes.

  1. Get your numbers

Buy local numbers in the US or South Africa, or port the numbers your customers already know into BaseCloud.

  2. Design your call flows

Decide what happens when someone calls. Play a greeting, offer a menu, ring one group of people and then the next, and end at voicemail.

  3. Answer anywhere

Your team picks up in the CRM in their browser, on the BaseCloud Phone app or on a SIP phone. Away from the CRM? Follow-me rings their cellphone.

  4. Every call lands on the record

Calls are logged and recorded against the client, so the next person who talks to them has the full history.

What it does

Everything a small business phone system needs

Calling is part of BaseCloud CRM, not a marketplace add-on. Here are the parts your team uses every day, all managed from the Telephony settings in the CRM.

  • Browser softphone

Call from inside the CRM in your browser, with nothing to install and noise cancellation built in. The call is logged to the client while you work on their record.

  • BaseCloud Phone app

The native BaseCloud Phone app for iOS and Android takes calls on the go. Push notifications wake it up when a call comes in, even when the app is closed.

  • SIP extensions

Register SIP desk phones or softphones as extensions on your BaseCloud account. Desk phones are set up manually rather than auto-provisioned.

  • Numbers and porting

Buy local numbers in the US and South Africa, and port existing numbers in from your current carrier. Each number can ring a person, a group or a call flow.

  • Call flows and IVR menus

Build call routing visually. Callers press a key in a DTMF menu ("press 1 for sales"), hear your audio clips, and move through ring steps you define.

  • Ring groups and ring steps

Ring a team together, or in sequence. Try the front desk first, then the whole sales team, then voicemail.

  • Transfers and conference calls

Transfer a live call cold (blind) or warm (assisted, after you've spoken to the colleague). Bring more people into a conference call, billed per external leg.

  • Voicemail

Callers who don't reach anyone leave a voicemail, and it's saved against the client.

  • Follow-me to cellphones

When a team member is away from the CRM, their calls can ring their cellphone instead, so a ring group never rings an empty desk.

  • Encrypted calling (SRTP)

SRTP encrypts the call audio. It's offered per contact, for the conversations that need it.

Reference

IVR, ring groups and call flows

Call flows are how BaseCloud answers your main numbers. You lay out the steps once, and every caller gets the same, predictable route to a person.

Menus (IVR)

  • Callers press a key (DTMF) to choose where to go
  • Your own greetings and audio clips
  • Each option leads to a person, a ring group or another step

Ring groups and steps

  • Ring several people at once
  • Sequential ring steps, one group after another
  • Ring members' cellphones with follow-me

When the call is answered or missed

  • Voicemail saved against the client
  • Answered calls recorded, transcribed and summarized
  • Call history for every number in the CRM

FAQ

Questions buyers ask

Do I need a separate VoIP provider to make calls from BaseCloud?
No. Calling is built into BaseCloud CRM. Your business numbers come from BaseCloud and calls run through BaseCloud's own phone system, so there's no separate VoIP service or dialer add-on to connect.
Can I keep my existing business phone number?
Yes. You can port existing numbers into BaseCloud (US and South African numbers are supported), or buy new local numbers. How long a port takes depends on your current carrier.
Can my team answer calls on their cell phones?
Yes, in two ways. The BaseCloud Phone app for iOS and Android rings with push notifications, and follow-me can ring a team member's cellphone when they're away from the CRM.
Does BaseCloud have an IVR or auto attendant?
Yes. Call flows let you build a DTMF menu with your own audio clips, then send callers to a person, a ring group or a sequence of ring steps. Voicemail catches the calls nobody answers.
Can I transfer calls and hold conference calls?
Yes. Transfers can be blind (straight through) or assisted (you speak to your colleague first). Conference calls bring several people onto one call and are billed per external leg.
Are calls recorded?
Yes. Calls are recorded and attached to the client, then transcribed and summarized by AI shortly after they end. More on call recording and AI summaries.
Can I use our existing desk phones?
Yes, as SIP extensions. Desk phones are configured manually rather than auto-provisioned, and connecting existing VoIP or desk phones is quoted separately during onboarding.
