AI Connections in BaseCloud CRM
A CRM MCP server that puts your CRM inside Claude and ChatGPT
Connect the AI app you already use to BaseCloud CRM. Ask about any client, catch up on your inbox, send an email, raise an invoice or have a whole automation workflow built for you, just by asking. It is built on the open MCP standard, so it works with Claude, ChatGPT and any other AI app that supports MCP. The AI works as you, and can only do what your own BaseCloud access allows.

Ask for a workflow. Get a workflow.
One request, typed into Claude or ChatGPT with BaseCloud connected. A minute later the workflow is in the CRM, switched off and waiting to be checked.
You ask Claude: Can you build me a new automation workflow? When a client moves to Onboarding, create a workflow note for Sarah asking her to confirm the finances are in order, then email the client to welcome them. Make it a nice, neat email. Some fireworks.
I'll build this in BaseCloud CRM: an onboarding trigger, a workflow note for Sarah, then a celebratory welcome email.
Used BaseCloud CRM
The workflow is built in BaseCloud as Client Onboarding: Finance Check and Welcome Email. It's switched off so you can look it over first: open it here.
How it runs:
- Trigger: A client's status changes. Starts the workflow for that client.
- If: The new status is Onboarding. Any other status change stops here.
- Workflow Note: Sarah is asked to confirm the finances. High priority, due today, in her inbox.
- Send Email: The client gets a welcome email. Branded, with the client's name filled in.

Switched off, ready for you to review
Welcome aboard, Acme Roofing
You're in. Welcome to the team!
We're glad to have you. Here is what happens next, and who to call if you need anything.
The problem
Your AI assistant can't help with what it can't see
Most teams already use Claude or ChatGPT every day. Without a connection to the CRM, the assistant knows nothing about your clients, so you end up carrying information back and forth by hand.
Copy, paste, repeat
You copy a client's history into a chat, then paste the answer back into the CRM as a note or an email.
Automation waits for the one person who knows how
Everyone has an idea for a workflow. Building it waits until someone has time to sit down with the builder.
Simple questions take ten clicks
Who owes us money? What did we promise this client on the last call? The answers exist, but someone has to go and find them.
Pasting client data into a chat has no controls
Nobody chose what was shared, and there is no record of what left the building.
Built-in AI ties you to one vendor
Most CRMs give you their own assistant and nothing else. When a better AI comes along, you can't bring it with you.
How it works
Connected in about a minute
There is nothing to install and no API key to copy. You sign in with your normal BaseCloud login, two-factor sign-in included.
Copy your connector link
In BaseCloud, open Settings, then AI Connections, and copy the link.
Add it to your AI app
In Claude, ChatGPT, Cursor or any other MCP app, add a custom connector and paste the link. Sign in with your BaseCloud account.
Choose what the AI may do
Reading is always included. You decide whether it may also make changes, send messages, record payments, delete records or change your automations.
Ask in plain words
Ask a question or give an instruction. The AI works in BaseCloud as you, and everything it does shows in the activity log.
What it does
What you can ask your AI to do in BaseCloud
The AI gets the same building blocks you use in the CRM, so it can answer from real records and do real work. What it may do depends on the permissions you chose and on your own access.
Use the AI you already pay for
Claude, ChatGPT, Microsoft Copilot Studio, Gemini CLI, Mistral Le Chat, Cursor, Windsurf and VS Code with GitHub Copilot all connect with one link. Switch AI apps whenever you like.
Build automation workflows
Describe what should happen and the AI builds the workflow, with triggers, conditions, loops, notes and designed emails. A new workflow always starts switched off.
Find out why a workflow failed, and fix it
Ask why a run failed. The AI reads the run, explains what went wrong, changes the setting and re-runs it. Every change can be undone.
Know a client before you call
One question brings back the client's details, contacts, open notes, recent conversations, quotes and invoices.
Work through your inbox
Ask what needs doing today. Reply to notes, mark them done, move a note to the right client or leave a reminder for a colleague.
Send email, SMS and WhatsApp
Messages go out as you, from your own mailbox and numbers, and land on the client's record. The AI can only message contacts that are on a client record.
Quotes, invoices and payments
Draw up a quote from your pricebook, raise an invoice, turn quotes into invoices, see who owes you money and mark invoices paid.
Calendar and meetings
See your day, book a meeting, invite a client's contacts, answer an invitation or propose a better time.
Search everything, including the help docs
Search notes, emails, WhatsApp and SMS messages, call transcripts and client files. Ask how BaseCloud works and the AI answers from its documentation, with the link.
Keep records tidy
Add and update clients and contacts, change the status of many clients at once, and add or edit custom fields.
Reference
Built so you stay in control
Giving an AI access to client data is a serious decision. These are the rules the connection works under, for every account and every request.
You decide what it can do
- Each person connects the AI app they prefer and chooses its permissions.
- The AI can never do more than that person can do in BaseCloud.
- Administrators can limit what any AI app may do, or switch AI connections off for the whole account.
- Disconnect an app at any time. Administrators can disconnect anyone's.
Mistakes can be undone
- New workflows start switched off, for you to check first.
- Every workflow change can be undone.
- Clients and notes deleted in the last 24 hours can be put back.
- Recording a payment marks an invoice paid. It never moves money.
Your data is protected
- Every action is logged against the person and the AI app that made it.
- Passwords, API keys and tokens stored in workflow settings are never shown to the AI.
- Messages only go to contacts on a client record, never to an address typed into the chat.
- Text from outside your business, like incoming emails, is marked so the AI treats it as information and not as instructions.
One platform
One connection to the whole platform
The AI isn't limited to one corner of the CRM. It works across clients, communication, billing, calendars and automation, because they all sit on the same client record.
