Phase 3 Automation #2: First Small Automation

Now that we have our status change workflow, I would like to set up this trigger to listen out for specific events.

In this case, the CRM trigger needs to be configured for a certain trigger type and a Target Field to listen out for.

Because I know I’m listening out, I want to listen out for status changes.

We will choose field change.

It then displays additional options to show you which field do you want to be listening out for.

These are all the custom fields that we have, but I would like to listen out for client status.

Currently there are no events recorded.

In order to record an event, I need to switch on my trigger.

After it’s been switched on, I can go into a client account.

I can change the status to anything that should have triggered our trigger.

If we navigate back to our automation workflows, I can see the status change.

I want to take a look at the records that have been recorded.

We’ll click the records button here.

When I change the status, it immediately created a record going into the trigger.

We’ll find that record here as well and all the data relevant to that trigger.

Now we want to create a workflow note for when the status gets changed.

We want to look for workflow note.

Add a task.

Here you’ll see various options.

Here you’ll see everything you need to action with regards to that task that we’ve just added on the left hand side.

This is the data that has come through from our trigger.

Our output will appear once we’ve performed the action.

In this case, I’m going to say I would like to create a workflow note.

We choose a workflow note type.

Edit You can choose any type, it’ll just show a different icon.

As soon as you’ve created the workflow note.

It then asks for certain information.

So here’s a client ID which is currently blank.

We’ll be pulling the client ID into the system.

Then we can choose a direction left because its coming into the system and select a priority.

If you would like a due date, a specific user that you would like to tag this to, and also whether the note should be marked as done or not done automatically.

In this case we’ll mark it as done.

I’m not going to assign this note to a specific user and I want to create a note that says the status was changed from this to that by a specific person.

So all we need to do is status change from.

We replace this with a variable from the left hand side so just copy and paste there.

And I can choose.

It needs to be from and then to by user action name Peter.

Let’s switch this on, and take a look at what we built.

If we now go back to clients, I go to Sylvie and change the status from quoted to new.

What we expect to happen is that a workflow note will be created.

Here’s our workflow note that was created and it says status was changed from quoted to new by Peter.

That was our very first automation workflow.
